# Considering venue size and cost

Choose a venue that fits your expected audience, event format, and confirmed budget. Compare at least two venues before making a commitment.

### Estimate the right capacity

Start with attendance at similar local meetups and professional gatherings. Plan for the number of attendees your team can comfortably manage.

Room capacity is not always usable event capacity. Account for seating layouts, presenter space, registration, food, accessibility routes, and sponsor areas.

### Calculate the total cost

Venue rental is often one of the largest event expenses. Compare the full cost, not just the advertised room rate.

* Rental fee, deposit, taxes, and service charges
* A/V equipment, technician, cleaning, security, and staffing fees
* Insurance, internet, furniture, and catering requirements
* Overtime, cancellation, and rescheduling costs

### Consider in-kind space

Ask libraries, community spaces, universities, coworking spaces, and local companies about donated space. A sponsor may provide a venue instead of a cash contribution.

Confirm whether donated space includes staffing, A/V, cleaning, security, and internet. A free room may still have significant operating costs.

### Check the event requirements

Shortlist venues that support an inclusive, reliable event experience:

* Accessible entry, restrooms, and routes through the venue
* Transportation, parking, and nearby food options
* Suitable power, internet, sound, and display capabilities
* Setup, breakdown, and rehearsal access

### Compare your shortlist

For each venue, record its usable capacity, total cost, included services, accessibility, A/V support, and cancellation terms. Select the venue that best fits your audience and event plan.
