Reach out to sponsors
Contact sponsor prospects with a tailored, coordinated, and trackable approach.
Start outreach after you finalize your sponsorship strategy and prospectus. Personal, well-researched requests build stronger sponsor relationships.
Prepare for outreach
Before you contact a prospect:
Confirm the requested contribution and sponsor benefits.
Assign one team member to own each relationship.
Record the contact, next action, and outreach history.
Review Create a sponsorship strategy before sending requests.
Make a personal request
Start with a short, tailored introduction. Explain your local event, the community it serves, and why the organization is a good fit.
Ask about the sponsor’s goals. Then share the prospectus and the sponsorship option that best matches those goals.
Be clear about the requested contribution, benefits, decision date, and contact person. Attach or link the prospectus.
Follow up and confirm
Follow up respectfully after a reasonable interval. Use the contact’s preferred channel and stop if they decline.
Do not offer new benefits or discounts without your local team’s agreement. Confirm every accepted contribution and benefit in writing.
Track the outcome in your sponsor list. Update your budget only when support is confirmed.
