What's involved?

You will lead the celebration in your city as part of a global community. Here is what to expect.

Your responsibilities

Secure a venue. From coffee shops to conference halls, we support events of all sizes.
Fund the celebration. Small informal gatherings and large conference-style events are both welcome. You decide what works for your community.
Curate content. Presentations and activities that explore information architecture, ideally tied to the global theme
Build a local team. Recruit co-organizers, speakers, photographer, and volunteers
Handle logistics. Marketing, registration, day-of-event coordination
Connect globally. Take part in the organizer community and stay in touch with the Global Team.

Time commitment

Timeline: July through March (about 9 months)
Monthly time: 5 to 40 hours, depending on your event size and team
Busiest periods:
- September to November for planning
- February to March for final preparations

What we provide

Brand assets: logos, slide templates, marketing materials
A location-focused subdomain on worldiaday.org
A professional email address for your location
A global community: access to organizer message board and shared resources
Guidelines and templates. Including frameworks from successful locations
Ongoing support from dedicated Global Team volunteers

As a nonprofit, we can also give you access to Tito for registration, Vimeo for video storage, and Canva for social assets.

How to apply

We review applications on a rolling basis. The earlier you apply, the more time you have to plan. We try to reply to every applicant within two weeks.

Key dates for WIAD 2027

Applications open: July 2026
Priority deadline: October 2026 (for most planning time)
Final applications: November 30, 2026
World IA Day 2027: March 6, 2027

Application tips

Show your community connection: tell us how you are involved locally.
Apply as a team: applications with co-organizers are stronger.
Research your area: check the list of past locations to see if there has been a celebration near you.
Be realistic: start with what you can manage and grow over time.

You can approach sponsors, venues, and speakers before you apply. Please be clear that you are applying to represent World IA Day, not yet officially organizing.

Frequently asked questions

Do I need a co-organizer or team?

You can be the lead organizer on your own, but we strongly recommend recruiting a co-organizer or a small team. Building communities and growing together have been our driving principles from the start, and a team makes your application stronger.

My location is small. Can I still apply?

Yes. A smaller town or a less populous region is welcome. Celebrations of any size are a good fit. You can check the full list of locations to see if there has been a celebration nearby.

Is it first come, first served?

No. Each location reapplies every year, and we value the relationships we have built. If more than one person applies for the same location, we encourage collaboration but may select organizers based on their existing contributions to the community. Each location has one organizer, and one person cannot run multiple celebrations.

Can there be more than one event in my area?

We encourage people in the same region to work together. A good test: would a second celebration nearby compete for the same speakers, sponsors, and attendees? If so, join forces.

When will I hear back?

Within two weeks of submitting. If you apply in the first few weeks after applications open, some assets and resources may still be in progress.
